For research sites

Clinical trial feasibility software built for the site side

Sponsors decide site selection from your feasibility answers — and from how fast they arrive. TrialWave keeps your patient counts, site profile, and documents sponsor-ready, so a questionnaire that used to take a week of digging gets answered in hours.

Feasibility is a race you can prepare for

Sponsors send feasibility questionnaires to more sites than they will select and read the answers side by side. Most of what they ask — investigator credentials, staffing, equipment, patient population — doesn't change per protocol, yet at most sites it gets reassembled from scratch every single time. The sites that answer in a day, with numbers they can defend, are the ones that stay in the running. The workflow is covered in our guides to site feasibility and the feasibility questionnaire — TrialWave is the software half of that answer.

How TrialWave handles feasibility

1

Keep the answers ready before the questionnaire arrives

Your site profile holds the PI's credentials, staff, equipment, and aggregate patient-population counts by condition — the generic two-thirds of every feasibility questionnaire, maintained once instead of reassembled per request.

2

Answer from data, not memory

Patient counts are stored as aggregate, de-identified numbers with their source and date, so the enrollment estimate you give a sponsor is one your site can defend at the qualification visit.

3

Track every feasibility to a decision

Each questionnaire is tracked through its real states — received, in progress, submitted, awaiting sponsor response — and each study moves across the pipeline board from feasibility through CDA/NDA to site selected, with follow-up reminders so no sponsor conversation dies of silence.

What's in the feasibility toolkit

  • Sponsor-ready site capability profile, exportable as a clean packet or shareable link
  • Aggregate patient-population counts by condition — no individual patient data, ever
  • Feasibility tracker: every questionnaire and its status in one place
  • Document vault with expiration alerts for CVs, licenses, GCP certificates, lab certs
  • CDA / NDA tracking from received to signed
  • Study finder that scores ClinicalTrials.gov studies against your real population, so you spend feasibility effort on studies you can win

Site profile, patient population, and credential documents are free forever; the full feasibility toolkit is on the Site plan at $249/month — see plans. TrialWave is a workflow tool with a privacy-first design; it is not a certified compliance solution.

Common questions

What does feasibility software actually do?

It keeps the information sponsors ask for — investigator credentials, staffing, equipment, aggregate patient counts, documents — current and in one place, and tracks each feasibility request from questionnaire to site-selection decision. The work it replaces is the scramble: digging through EMRs, inboxes, and spreadsheets every time a sponsor asks the same questions.

Is this a CTMS?

No. A clinical trial management system runs studies after you win them — visits, monitoring, study payments. TrialWave covers what happens before the award: finding studies that fit, sponsor and CRO outreach, feasibility, and the agreements that get you selected. Many sites eventually use both.

Does TrialWave store patient data?

No. Patient population lives as aggregate, de-identified counts by condition — never individual records or identifiers. That is a deliberate design decision: feasibility answers never need PHI.

We're a small site with one coordinator. Is this overkill?

It's built for exactly that site. One coordinator answering feasibility questionnaires between patient visits benefits most from having the answers pre-assembled — the sites with dedicated feasibility staff are the ones that need software least.

How is this different from a spreadsheet?

A spreadsheet holds what you type into it. TrialWave connects the pieces: the profile powers study matching, matches carry fit scores with reasons, feasibility statuses drive follow-up reminders, and document expirations surface before a sponsor finds them. It also stays current — the registry is rescanned nightly against your profile.
